The Corporate & Disciplinary Coordinator is a cross-functional role at the very heart of Rugby Europe. This important position reports directly to the CEO and is a highly visible role within the organization. It requires a balanced mix of hard and soft skills, and it comes with strong responsibilities. A culture of operational excellence, strong prioritization skills, and attention to detail are essential.
Missions
1. Corporate Missions (50%):
Decision making process:
- Under the CEO’s leadership, plan and support the decision-making processes of Rugby Europe’s governing bodies (Committees, Board of Directors and General Meeting).
Corporate events delivery:
- With the support of the staff, plan, organize and deliver all corporate events (20 committees’ meetings / year, 5 Board meetings / year, 1 general meeting / year). This includes, but is not limited to event management, meeting preparation & delivery, votes management, elections, drafting minutes…
Official correspondence:
- Receive and answer to all official communications addressed to Rugby Europe
- Draft and send all official communications sent by Rugby Europe
- Manage the official correspondence with the members of Rugby EuropeEngage with Rugby Europe’s partners (World Rugby, EOC, other federations…)
- Maintain and manage Rugby Europe’s CRM (HubSpot)
Governance:
- From time to time, contribute and/or lead governance reforms
- From time to time, represent Rugby Europe or act on its behalf at external corporate events or projects
2. Disciplinary missions (35%):
Official disciplinary literature:
- Be the internal expert on all disciplinary topics and develop an in-depth knowledge of both Rugby Europe and World Rugby disciplinary literature
- In cooperation with the Disciplinary Committee, from time to time, conduct disciplinary reforms
Under the supervision of the Disciplinary Committee, oversee disciplinary operations:
- Recruit and manage the pool of Disciplinary Officers
- Prepare disciplinary nominations (3 waves per year)
- Handle all disciplinary operations (+/- 25 cases per calendar year)
3. Ad-hoc projects (10%):
- From time to time, contribute and or lead strategic cross functional projects
4. Office management (5%):
- Manage office procurement and contractors
- From time to time organize team building activities
What we are looking for
Working for Rugby Europe requires a specific set of skills, as well as strong motivation and a willingness to learn. The following lists of skills gives an overview of what is needed to succeed in the role. However, candidates should not hesitate to apply if they possess most, but not all, of the required qualifications.
Hard Skills:
- Fluency is both English and French is an advantage. Other languages an additional benefit for the role. Working language in Rugby Europe is English.
- Experience in Rugby or a prominent sports Federation is welcome but not required
- Strong attention to detail and a perfect organization of your work
- Skilled project manager that knows how to prioritise and plan timelines carefully, proactively and effectively communicate across project teams to advance milestones and manage competing priorities
- Computer skills: Ms Office suite, Adobe Acrobat, and CRM management
- Excellent oral and written communication skills
Soft Skills:
- Quick learner
- Very strong prioritization skills and aptitude to work under pressure
- Team player with the ability to adapt to diverse stakeholders and cultures
- Service-oriented, flexible, resourceful, results oriented and autonomous character
- Comfortable handling complex, ambiguous, or confidential situations
